Ballenza is a class and studio management service operated by Lee Restarick, trading as Ballenza. We take the privacy of parents, guardians, students, teachers and staff seriously.

Who is responsible for your information?

When a participating organisation uses Ballenza to manage its classes, students, attendance and related records, that organisation generally decides why and how those records are used. It is generally the data controller for that information, and Ballenza provides the software and processes information on its behalf.

Ballenza is responsible as a data controller for personal information it uses for its own purposes, such as running its service, handling support enquiries, maintaining security and administering its relationships with organisations.

Information handled through Ballenza

Depending on how your organisation uses the service, information may include names, contact details, account details, student and parent/guardian relationships, dates of birth, class enrolments, schedules, attendance records, emergency contacts and information needed to support students safely. Some records may contain sensitive health or safeguarding information.

We may also handle technical information needed to operate and protect the service, such as sign-in activity, device or browser details and security logs.

How information is used

Participating organisations use Ballenza to administer classes and activities, communicate with their members, maintain appropriate records and manage access for authorised users. Ballenza uses information as necessary to provide, maintain, secure and support the service, and to respond to enquiries.

Where an organisation controls the information, that organisation is responsible for identifying the appropriate lawful basis and explaining its use of personal information to the people concerned. Different rules may apply to sensitive information.

Children's information

Ballenza supports organisations that work with children. Access to student records is intended to be limited according to the user's role and their relationship to the student. Parents and guardians should contact their organisation if student or family information is incorrect or needs updating.

Sharing and service providers

Information is made available to authorised people within the relevant organisation and, where appropriate, to linked parents or guardians. We may use technical service providers to host, maintain, secure and deliver Ballenza. We do not make one organisation's records available to another organisation.

Where information is transferred outside the UK, appropriate legal safeguards must be considered and applied where required.

Security and retention

We use technical and organisational measures intended to protect personal information, including account access controls and measures to help prevent unauthorised access. No online service can guarantee absolute security.

Records are retained for as long as needed for the relevant service, legal, safeguarding or organisational purpose. Participating organisations are generally responsible for deciding how long their student and class records should be kept. Some information may need to be retained after an account or enrolment ends.

Your privacy rights

Under UK data protection law, you may have rights to access, correct, erase or restrict the use of your personal information, object to certain processing, or request data portability, depending on the circumstances.

For information held by your class or studio organisation, please contact that organisation first. You can also contact Ballenza, and we will help direct your request appropriately.
